    Key Responsibilities

    Data Entry & Contract Processing

    • Enter new customer records into QuickBooks Online.
    • Enter signed contracts and job estimates from the company's field operations system into QuickBooks Online.
    • Ensure every new contract is recorded accurately and promptly.
    • Verify that accounting records accurately mirror the information contained in the source system.
    • Maintain consistent and error-free records between the field operations and accounting systems.
    • Ensure financial information remains current as new contracts and jobs move through the pipeline.

    Payment & Deposit Recording

    • Record customer deposits against the appropriate contract as payments are received.

    • Track partial and milestone payments, including:

      • Initial deposits
      • Delivery payments
      • Final payments
    • Reconcile individual payments against the total contract value.

    • Flag payments that cannot be clearly matched to an existing contract.

    • Escalate discrepancies for appropriate internal follow-up rather than making assumptions.

    Installation & Documentation Verification

    • Cross-check installation dates recorded in the field operations system against accounting records.
    • Confirm installation completion is properly reflected before related invoicing or payment steps proceed.
    • Maintain a clean and verifiable trail between field activity and financial records.
    • Identify inconsistencies between operational and accounting information.

    Invoice Processing

    • Process customer invoices daily for jobs marked as complete in the field operations system.

    • Ensure invoices accurately reflect:

      • Contract terms
      • Contract amounts
      • Applicable payment information
    • Issue invoices promptly following job completion.

    • Maintain a standard same-day or next-day invoicing turnaround.

    Field Operations System ↔ QuickBooks Online Management

    A critical responsibility of this position is serving as the primary reconciliation point between the company's field operations platform and QuickBooks Online.

    Because these systems are not currently integrated, they must be kept synchronized manually.

    The Finance & Accounts Receivable Data Specialist will:

    • Own the complete data-entry and reconciliation workflow from beginning to end.

    • Manage:

    • Reconcile information between both platforms.

    • Close the existing reconciliation backlog within the first 30 days.

    Quality Control & Execution

    • Cross-check the financial math on every contract.

    • Verify:

      • Deposit amounts
      • Delivery payments

    • Identify discrepancies between individual payments and total contract value.

    • Flag discrepancies to Sales or Operations for correction.

    • Do not independently modify or resolve questionable contract information without appropriate internal review.

    • Identify recurring sources of errors or delays in the field-to-accounting handoff.

    • Proactively communicate recurring issues.

    • Develop increasing familiarity with financing and lender-related jobs.

    • Understand that certain lenders may require final inspections before invoicing, while others may trigger invoicing based on installation-date confirmation.

    • Develop enough familiarity with these processes to intelligently identify and flag discrepancies without owning the underlying financing decision.

    Reporting & Communication

    • Provide a brief daily status update.

    • Report progress toward clearing the existing backlog.

    • Report discrepancies requiring internal review.

    • Maintain visibility into:

      • Data-entry accuracy
      • Reconciliation status
      • Outstanding backlog
    • Escalate contract-math or documentation discrepancies on the same day they are identified.

    • Avoid batching known discrepancies for later review.

    • Participate in short daily check-ins during the initial ramp period.

    • Use check-ins to discuss:

      • Progress

      • Flagged items

    Qualifications
