    Job Description

    The Referral Coordinator is responsible for assisting patients in securing timely and appropriate medical treatment based on provider referrals.

    This position plays an important role in facilitating communication between patients, internal teams, medical providers, and partner clinics. The Referral Coordinator ensures that referrals are processed accurately and efficiently while maintaining a high standard of patient care and communication.

    The ideal candidate is highly organized, detail-oriented, comfortable communicating with patients and healthcare providers, and capable of managing multiple referrals simultaneously in a fast-paced remote environment.

    Key Responsibilities

    Referral Intake & Processing

    • Review and manage incoming medical referrals.
    • Identify patients requiring assistance based on incoming referral information.
    • Locate appropriate treatment facilities near each patient's location.
    • Match patients with facilities based on referral requirements and individual treatment needs.
    • Maintain an accurate and up-to-date directory of partner and available treatment clinics.
    • Monitor referral progress to ensure patients move efficiently through the scheduling process.

    Patient & Provider Coordination

    • Contact patients to confirm treatment preferences and scheduling needs.
    • Schedule appointments with appropriate clinics and treatment providers.
    • Coordinate appointment scheduling between patients and external medical providers.
    • Maintain clear, timely, and professional communication with medical providers and partner clinics.
    • Monitor pending referrals.
    • Follow up consistently to ensure appointments are booked in a timely manner.
    • Keep patients informed regarding referral and scheduling progress.

    Documentation & Compliance

    • Fax medical orders and supporting documentation to designated clinics and treatment facilities.
    • Accurately document patient interactions.
    • Record clinic confirmations and appointment information.
    • Maintain accurate records regarding referral status and progress.
    • Ensure documentation is complete and properly maintained.
    • Maintain HIPAA compliance throughout all patient and provider interactions.
    • Protect patient confidentiality and sensitive medical information at all times.

    Qualifications

    • Minimum of 1 year of experience in healthcare coordination, medical referrals, or a related administrative position.
    • Personal injury industry experience preferred.
    • Bilingual English/Spanish preferred.
    • Strong verbal and written communication skills.
    • Exceptional attention to detail.
    • Strong commitment to accuracy and proper documentation.
    • Proficiency with Google Workspace.
    • Proficiency with Microsoft Excel.
    • Comfortable using Adobe tools.
    • Ability to multitask and effectively manage multiple referrals and priorities.

    Work Schedule

    This is a full-time remote position.

    Phase 1: Orientation & System Training – Weeks 1–3

    • Introduction to the organization's processes, partner clinics, and team structure.
    • Learn the complete referral intake and coordination workflow.
    • Review HIPAA requirements and patient confidentiality expectations.
    • Review patient, clinic, and provider communication procedures.
    • Complete hands-on training with Google Workspace and Excel.
    • Learn fax and document-transmission workflows.
    • Become familiar with the partner clinic directory and referral documentation standards.

    Phase 2: Operational Integration – Weeks 4–8

    • Begin independently managing a limited number of referrals.
    • Begin conducting patient outreach.
    • Coordinate appointments with partner clinics under supervision.
    • Participate in weekly performance check-ins.
    • Review areas requiring additional training or improvement.
    • Assist with maintaining the clinic directory.
    • Maintain referral documentation and patient records.
    • Develop consistency in follow-up procedures for pending referrals.

    Phase 3: Full Integration – Weeks 9–12

    • Assume full ownership of an assigned referral caseload.
    • Independently coordinate patients with appropriate clinics.
    • Manage communication with assigned patients and providers.
    • Operate independently with full accountability for assigned referrals.
    • Achieve established accuracy and responsiveness expectations.
    • Maintain consistent HIPAA compliance.
    • Identify opportunities to improve referral workflows.
    • Provide feedback and recommendations for operational improvements.
