    Job Description

    The Appointment Setter / Inbound Sales Coordinator serves as the first point of contact for every prospective customer and owns the critical period between lead arrival and appointment confirmation.

    The primary objective is simple:

    • Respond immediately.

    Key Responsibilities

    Lead Response & Speed-to-Lead

    • Monitor inbound web leads continuously.

    • Respond to new web inquiries within five minutes of arrival.

    • Answer inbound sales calls promptly, professionally, and enthusiastically.

    • Position the company as the trusted expert in premium automotive services.

    • Execute structured follow-up through:

    Consultative Selling & Appointment Booking

    • Learn the complete product catalog, including:

    • Educate customers with confidence.

    • Explain:

    Pipeline & CRM Management

    • Maintain accurate CRM records.

    • Ensure every lead remains in the appropriate pipeline stage, including:

      • New Lead
      • Appointment Scheduled
      • Sale Closed
      • Lost Opportunity
      • Nurture Campaign
    • Document every interaction and next step.

    • Maintain complete records for the in-store team.

    • Execute structured follow-up campaigns for:

      • No-Shows
      • Unconverted Leads
      • Dormant Opportunities

    Appointment Confirmation & Show Rate

    • Maximize appointment show rates through proactive confirmation.
    • Utilize automated reminder systems.
    • Add personalized follow-up when appropriate.
    • Reschedule appointments rather than allowing opportunities to be lost.

    Cross-Functional & Administrative Support

    During lower call-volume periods, support additional operational activities, including:

    • Outbound follow-up campaigns.
    • Reactivation of dormant leads.
    • CRM data maintenance.
    • Referral program coordination.
    • Marketing support tasks.
    • Daily and weekly activity reporting.

    Coverage Model

    Operate as part of a coordinated virtual sales team providing continuous lead coverage across multiple time zones.

    Responsibilities include:

    • Providing uninterrupted weekday coverage.

    • Executing seamless handoffs between coverage shifts.
    • Maintaining consistent response quality regardless of schedule.

    Required
