    Job Description

    The Executive Operations Partner will serve as the founder's operational right hand. The primary responsibility of this role is to capture the founder's ideas, organize them into structured initiatives, and manage the execution of those initiatives until they are completed.

    The founder frequently identifies opportunities, strategic improvements, and new ventures. The Executive Operations Partner will help transform those ideas into actionable projects, coordinate resources required for execution, and maintain momentum across multiple initiatives.

    This role requires a proactive individual who enjoys problem solving, building systems, coordinating people, and helping a visionary entrepreneur bring ideas to life.

    Over time, this role may evolve into a senior operational leadership position as the organization continues to expand its initiatives.

    Core Responsibilities

    1. Vision Integration

    • Capture ideas and initiatives directly from the founder
    • Translate concepts into structured projects and action plans
    • Break down large ideas into clear, executable steps
    • Identify missing components required to execute initiatives
    • Ensure projects move from concept to completion

    2. Project Management & Execution

    • Manage multiple initiatives simultaneously
    • Organize all projects within the company's project management platform (Asana)
    • Maintain visibility across active initiatives
    • Track deadlines and project milestones
    • Provide regular updates to the founder on progress and execution

    3. Operational Systems Development

    • Help organize operational workflows that support the founder's initiatives
    • Build systems that ensure ideas are not lost or forgotten
    • Develop processes that allow projects to be executed consistently
    • Maintain documentation for projects and operational procedures

    4. Freelancer & Contractor Management

    • Identify freelancers or vendors for specialized work (design, development, marketing)
    • Manage relationships with contractors
    • Coordinate deliverables and timelines
    • Review work to ensure it meets the expected standard before presenting it to the founder

    5. Strategic Initiative Support

    • Launching digital training or programming products
    • Developing consulting services and outreach initiatives
    • Supporting event development and partnerships
    • Creating systems to support marketing or promotional campaigns
    • Helping the founder expand new business opportunities

    6. Revenue Opportunity Support

    • Help build the operational systems needed to bring revenue opportunities to market, including online training programs, consulting opportunities for fitness events, sponsorship or brand partnerships, and digital products or educational content

    7. AI & Productivity Optimization

    • Use Claude AI platforms to structure projects
    • Use Claude Co-Worker and help CEO use Co-Worker
    • Convert brainstorming sessions into organized action plans
    • Create drafts of documents, plans, or communications
    • Build workflows that improve execution speed

    8. Research & Problem Solving

    • Conduct research to support new initiatives
    • Identify tools, platforms, vendors, or services required to execute projects
    • Gather competitive or market information when needed
    • Present organized summaries or recommendations to the founder

    9. Communication & Coordination

    • Coordinate communication with partners, vendors, and collaborators
    • Organize follow-ups from meetings or conversations
    • Maintain documentation related to partnerships and initiatives
    • Ensure conversations lead to actionable outcomes

    Typical Workday and Workweek

    A typical workday includes:

    • Capturing ideas from the founder and converting them into project tasks
    • Updating and managing project timelines
    • Coordinating work with freelancers or contractors
    • Conducting research for new initiatives
    • Organizing documentation or project materials
    • Ensuring progress continues across active initiatives
    • Preparing summaries or updates for the founder

    A typical workweek includes:

    • Reviewing project progress and priorities
    • Coordinating deliverables from contractors
    • Supporting new strategic initiatives
    • Organizing new opportunities identified by the founder
    • Improving operational systems that support project execution
    • Ensuring ongoing initiatives continue to move forward

    Qualifications

    Required:

    • Strong English communication skills
    • Exceptional organizational and project management abilities
    • Ability to manage multiple projects simultaneously
    • Experience supporting entrepreneurs or business operators
    • Strong problem-solving and research capabilities
    • Comfort working with modern productivity and AI tools
    • Ability to take initiative and operate independently
    • High attention to detail and follow-through

    Preferred:

    • Experience working in entrepreneurial or startup environments
    • Familiarity with project management platforms such as Asana, ClickUp, or Monday
    • Experience coordinating freelancers or contractors
    • Interest in the fitness, wellness, or performance industry

    Performance Evaluation

    This contractor will report directly to the founder. Performance will be evaluated based on:

    • Ability to anticipate operational needs
    • Contribution to operational efficiency
    • Ability to reduce unfinished initiatives within the business
