    Job Description

    Remote – Part-Time Schedule: 24 Hours per Week

    About the Role

    The Part-Time Document Management Assistant is responsible for supporting the organization and management of electronic client files for a Florida-based law firm.

    The ideal candidate is highly organized, detail-oriented, computer-savvy, and comfortable working with a significant volume of electronic documents. This position requires someone who enjoys organizing information and can process documents accurately and consistently without losing track of where documents belong or what has already been completed.

    For this role, accuracy, organization, reliability, computer proficiency, confidentiality, and the ability to follow established procedures are more important than prior legal experience.

    This position does not require making legal determinations regarding a client's compliance with Florida Mandatory Disclosure requirements.

    The professional will be trained on the firm's established categories and procedures and will compare received documents against the appropriate checklist or Certificate of Compliance, flagging potential missing items for attorney or paralegal review.

    Key Responsibilities

    Document Intake & Filing

    • Receive documents by email from:

      • Clients
      • Opposing counsel or parties
      • Third parties
    • Download and save documents to the appropriate electronic client file.

    • Preserve a copy of each document as originally received.

    • Review documents sufficiently to identify their contents.

    • Assign clear and descriptive file names according to the firm's established naming conventions.

    • Organize renamed documents within the appropriate client Inventory folders and subfolders.

    • Ensure documents are consistently filed in the correct location.

    Mandatory Disclosure Support

    • Identify documents related to Mandatory Disclosure.

    • Categorize documents according to the firm's established categories and procedures.

    • Compare documents in the client's file against the applicable:

      • Mandatory Disclosure checklist
      • Certificate of Compliance
    • Identify which documents have been received.

    • Identify documents that appear to be missing or outstanding.

    • Flag documents that are:

      • Missing
      • Incomplete
      • Duplicated
      • Illegible
      • Incorrectly categorized
    • Escalate discrepancies to an attorney or paralegal for review rather than making independent legal determinations.

    PDF & Document Management

    • Perform routine PDF-management tasks, including:

      • Combining PDFs
      • Separating PDFs
      • Extracting pages
      • Rearranging pages
      • Rotating pages
      • Organizing documents
    • Maintain organized, accurate, and complete electronic client files.

    • Ensure attorneys and legal staff can readily locate required documents.

    • Assist with additional document-management and electronic file-organization responsibilities as assigned.

    Required Skills & Qualifications

    Training will be provided on the firm's specific procedures, naming conventions, folder structure, and Mandatory Disclosure workflow.

    Work Schedule

    This is a part-time position totaling 24 hours per week.

    • Monday: 1:00 PM – 5:00 PM
    • Tuesday: 9:00 AM – 5:00 PM
    • Wednesday: 1:00 PM – 5:00 PM
    • Thursday: 9:00 AM – 5:00 PM

    Total: 24 hours per week

    Days and working hours may be adjusted after December 31, 2026. The position is expected to remain an ongoing part-time role.

    Software & Tools

    The Document Management Assistant should be comfortable working with:

    • Microsoft Outlook
    • Microsoft Word
    • Adobe Acrobat or equivalent PDF-management software
    • Cloud-based document-management systems
    • Electronic client file systems

    Mandatory Equipment & Work Environment

    Because this position requires reviewing and organizing a significant volume of documents—often while viewing source documents alongside electronic client files—the following equipment and workspace requirements are mandatory:

    Computer & Monitor Requirements

    • Dedicated computer workstation.
    • Two monitors, each approximately 25 inches or larger.
    • A laptop screen combined with a small secondary monitor is not sufficient for the document-review responsibilities of this position.
    • Work computer and workstation must not be shared with other individuals while performing work for the firm.

    Internet Requirements

    • Reliable high-speed internet connection.
    • Internet must support continuous access to cloud-based systems and electronic client files.

    Workspace Requirements

    • Private and dedicated workspace.

    • Client documents and information must not be visible, overheard, or accessible by:

      • Family members
      • Roommates
      • Visitors
      • Other unauthorized individuals

    Confidentiality & Information Security

    This position provides access to highly confidential and sensitive client information, including:

    • Financial records
    • Bank statements
    • Investment statements
    • Tax documents
    • Personally identifying information
    • Court records
    • Privileged and confidential legal materials

    The Document Management Assistant must:

    • Maintain strict confidentiality of all client, case, and firm information.

    • Access client information only when necessary to perform assigned responsibilities.

    • Never permit another individual to view, access, copy, photograph, print, forward, or otherwise obtain firm or client information.

    • Never download or retain client documents on personal devices or personal cloud-storage accounts unless specifically authorized by firm procedures.

    • Never print client documents at home or elsewhere unless specifically authorized.

    • Follow all requirements regarding:

      • Passwords
      • Electronic access
      • Document storage
      • Document transmission
      • Information security
    • Immediately report any suspected:

      • Loss of information
      • Unauthorized disclosure
      • Unauthorized access
      • Security incident
    • Execute any confidentiality and information-security agreements required by the firm or staffing agency.

    Performance will be evaluated based on:

    • Accuracy and consistency in document naming.
    • Accuracy of electronic filing and organization.
    • Accuracy in Mandatory Disclosure categorization.
    • Accuracy when comparing documents against applicable checklists.
    • Timeliness in completing document-management requests.
    • Reliability and adherence to scheduled working hours.
    • Communication and responsiveness to team requests.
    • Ability to flag discrepancies rather than make assumptions.
    • Consistent adherence to confidentiality and information-security requirements.

    60-Day Onboarding Plan

    Phase 1: Orientation – Weeks 1–2

    • Receive access to required systems and platforms.
    • Complete virtual orientation.
    • Execute required confidentiality and information-security agreements.
    • Review the firm's electronic file structure.
    • Learn established naming conventions.
    • Review Mandatory Disclosure categories and procedures.
    • Become familiar with document-security expectations.

    Phase 2: Supervised Execution – Weeks 3–4

    • Begin handling document intake under supervision.

    • Begin downloading, naming, organizing, and filing documents.

    • Begin Mandatory Disclosure categorization under supervision.

    • Practice comparing client files against established checklists.

    • Receive feedback regarding:

    • Correct inconsistencies and establish accuracy before transitioning to independent work.

    Phase 3: Independent Operations – Weeks 5–8

    • Independently handle document-management responsibilities.
    • Independently manage Mandatory Disclosure support tasks within the defined scope of the position.
    • Consistently follow established naming and filing procedures.
    • Meet performance benchmarks for accuracy.
    • Meet established turnaround expectations.
    • Participate in team check-ins as required.
