    Job Description

    The Virtual Operations Integrator serves as the founder's operational partner and is responsible for translating strategic vision into consistent execution.

    Working within the EOS framework, this role ensures that projects, initiatives, operating systems, and business priorities are implemented successfully from planning through completion.

    The ideal candidate is highly organized, proactive, and capable of independently managing complex initiatives without requiring continuous direction.

    Initially focused on supporting the studio's primary operations, the role will gradually expand into additional business ventures as trust and responsibility increase.

    Success in this position requires someone who can:

    Key Responsibilities

    EOS Operations & Business Rhythm

    • Maintain and strengthen the company's EOS operating system.
    • Coordinate Level 10 meetings.
    • Maintain company scorecards and performance metrics.
    • Track Rocks, priorities, and action items.
    • Prepare meeting agendas and document follow-up items.
    • Ensure operational consistency across all departments.
    • Reinforce accountability throughout the organization.

    Project & Initiative Management

    • Take complete ownership of assigned projects from beginning to completion.
    • Break large initiatives into actionable milestones.
    • Develop project timelines and implementation plans.
    • Make informed operational decisions within approved authority.
    • Anticipate future needs before they become urgent.
    • Keep projects moving despite changing priorities.
    • Ensure no initiative is abandoned before completion.

    Systems Implementation

    • Implement operational systems, marketing frameworks, and business playbooks.
    • Translate strategic frameworks into repeatable internal processes.
    • Research and evaluate new operational solutions when necessary.
    • Recommend improvements to existing workflows.
    • Maintain systems after implementation to ensure long-term effectiveness.

    Brand & Presentation Management

    • Ensure brand consistency across every client touchpoint.
    • Maintain company website, marketing assets, presentations, and sales materials.
    • Keep pricing sheets and branded documents updated.
    • Coordinate with creative and production teams to maintain quality standards.
    • Ensure all client-facing materials accurately represent the company's premium brand.

    AI Operations Management

    • Manage the company's AI operating environment.
    • Maintain AI knowledge bases and SOP libraries.
    • Organize prompts and AI workflows for operational efficiency.
    • Utilize AI tools to improve productivity across departments.
    • Research emerging AI capabilities and recommend implementation opportunities.
    • Continuously improve AI-supported business processes.

    Cross-Company Operations

    • Support operational initiatives across the founder's additional businesses.
    • Coordinate projects involving multiple teams and vendors.
    • Maintain consistency across different ventures.
    • Ensure operational continuity throughout the organization.

    CRM & Systems Administration

    • Maintain accurate CRM records.
    • Track sales opportunities and client communications.
    • Organize project management software.
    • Manage business communications through RingCentral.
    • Maintain Dropbox organization and file structure.
    • Create and update professional presentations and branded documents using Canva or similar software.

    Execution & Accountability

    • Take ownership of outcomes rather than individual tasks.
    • Complete projects without requiring constant supervision.
    • Identify operational obstacles early.
    • Present solutions alongside identified problems.
    • Prioritize work effectively.
    • Ensure operational requests are captured, organized, and completed.

    Reporting & Performance Management

    • Prepare end-of-day operational reports.
    • Prepare weekly executive summaries.
    • Maintain project dashboards and operational visibility.
    • Update EOS scorecards.
    • Track milestone completion.
    • Report operational risks before they become problems.

    Additional Responsibilities

    • Research new technologies, vendors, and operational tools.
    • Support onboarding of future team members.
    • Document new SOPs and business processes.
    • Assist with long-term operational planning.

    Qualifications

    Required

    • 5+ years of experience in one or more of the following:

      • Operations Management
      • Integrator (EOS or similar)
      • Chief of Staff
      • Project Management
      • Business Operations
      • Executive Operations
    • Demonstrated experience leading projects from planning through successful completion.

    • Experience supporting founders, executives, or leadership teams.

    • Strong organizational, project management, and operational planning skills.

    • Excellent written and verbal communication skills in both English and Spanish.

    • Experience managing multiple high-priority initiatives simultaneously.

    • Strong problem-solving and decision-making abilities.

    • Ability to work independently with minimal supervision in a fast-paced remote environment.


    Preferred

    • Experience implementing EOS (Entrepreneurial Operating System) or similar operational frameworks.
    • Previous experience working with founder-led organizations.

    Onboarding Plan (90 Days)

    Phase 1: Company Orientation & Systems Training (Weeks 1–2)

    During the first two weeks, the team member will:

    • Complete company onboarding.
    • Learn company operations and organizational structure.
    • Receive access to internal systems.
    • Review active projects and company priorities.
    • Learn the EOS operating system currently in use.
    • Become familiar with company SOPs and operational workflows.

    Phase 2: Operations Integration & Project Ownership (Weeks 3–6)

    The team member will begin taking ownership of:

    • EOS meeting cadence.
    • Scorecards and reporting.
    • Assigned operational projects.
    • Business system implementation.
    • Cross-functional coordination.
    • AI operational workflows.

    Weekly coaching and performance reviews will support the transition.


    Phase 3: Independent Operations Leadership (Weeks 7–12)

    By the end of the onboarding period, the team member should independently manage:

    • Strategic operational initiatives.
    • EOS implementation.
    • AI operating systems.
    • Cross-company operational coordination.
    • Business process improvements.
    • Executive reporting.
    • Long-term operational planning.

    Continuous coaching and support remain available through The Virtual HR Department™, including operational best practices, leadership development, and AI implementation guidance.


    Work Environment

    This is a fully remote position requiring a professional home office setup.

    Candidates must have:

    • Reliable high-speed internet (minimum 100 Mbps download / 20 Mbps upload).
    • Backup internet connection (mobile hotspot or secondary provider).
    • Modern computer with at least 16 GB RAM and a current-generation processor.
