    The Executive Assistant to Owner remotely supports the franchise owner by managing sales leads, client communications, scheduling, customer service, social media, email marketing, bookkeeping support, and internal project coordination. The role ensures streamlined operations and reduces the owner’s administrative workload.

    What will you be doing in this position?

    1. Sales Lead & Client Communication Management

    • Respond promptly to sales leads and inquiries
    • Maintain accurate records in CRM software
    • Schedule appointments and follow up with clients
    • Ensure timely and professional communication

    2. Customer Service & Support

    • Address customer service inquiries efficiently
    • Resolve client issues or escalate as needed
    • Maintain high standards of professionalism
    • Track and document customer interactions

    3. Marketing & Social Media Oversight

    • Manage and schedule posts on social media platforms
    • Coordinate and execute email marketing campaigns
    • Monitor engagement and report on campaign performance
    • Ensure brand consistency across channels

    4. Bookkeeping & Payroll Preparation

    • Support bookkeeping tasks using QuickBooks
    • Assist with payroll preparation and data entry
    • Track expenses and reconcile accounts
    • Prepare basic financial reports as needed

    5. Internal Project Coordination & Reporting

    • Coordinate internal projects and timelines
    • Track key business metrics and prepare reports
    • Support the owner in reducing administrative workload
    • Ensure smooth communication between team members

    What do we need from you?

    • Bachelor’s degree
    • Proficiency in CRM software, Google Workspace, email marketing platforms, social media platforms, and QuickBooks
    • Strong communication, proactive attitude, reliability, self-management, professionalism, and multitasking skills

    Your typical workday

    A typical day involves reviewing and responding to new sales leads, managing the owner’s calendar, handling client communications, addressing customer service inquiries, scheduling social media posts, preparing email marketing content, supporting bookkeeping tasks, and coordinating internal projects to ensure efficient daily operations.

    Your typical workweek

    Throughout the week, the Executive Assistant balances lead management, client follow-ups, customer service, marketing activities, and bookkeeping support. Regular reporting, project coordination, and ongoing communication with the owner ensure all administrative and operational tasks are completed on schedule.

    Your performance evaluation and your accountability

    Performance is measured by:

    • Responsiveness to leads and client inquiries
    • Accuracy and timeliness in scheduling and reporting
    • Effectiveness in marketing and bookkeeping support
    • Overall reduction of the owner’s administrative workload
